The Role-

Ensure the high level, smooth running of all projects through the studio. Work to maximise efficiencies and that the right people are working on the right projects.
-Managing the resource allocation of the studio - approx 70-80 staff members ranging from creative designers through to technical developers
-Liaising with project managers and account handlers to ensure the correct resources are booked on projects in accordance with timing plans, deliverables & skill-sets to ensure effective utilisation
-Ensuring that resources are working on and what they are booked on by doing a morning and lunchtime walk round the studio and checking in with individual resources
-Mitigating risk on projects and flagging as early as possible if a resource is running behind or have suddenly become free
-Working with project managers to manage resource clashes & to re-arrange resource allocations where necessary; projects over - running, scopes changing etc.
-Managing urgent resource requests from project managers and either allocating internal resource or working with the Operations Manager to find alternative solutions such as freelancers or third parties
-Working with Operations Manager and Delivery Director to forecast long term resource planning across multiple projects and for future projects
-Update the resource chart and hold weekly meetings with project managers on all resource requirements
-Update and liaise with Heads of Department to discuss requests and or to determine best team member to assign to projects
-Work with the Operations Manager by offering support where required on Recruitment; type of support extends to obtaining briefs, chasing feedback on interviews and CVs
Studio/Office Management
-Maintain necessary information around studio equipment, software and seating for new perm and or freelance starters, this includes the maintaining of the agency seating plan
Systems/Tools
-Maintain and update through the Agency's system Web Factory; time sheets, people - new joiners and leavers, title changes and vacation management
-The maintain and update the 'People' file within the Project Status Report Tool


Experience

- 1 - 2 years working within an agency/client side from either production or traffic or studio management background
-Good knowledge of the digital environment; web development & online comms processes and skill-sets
-Good knowledge of different disciplines & skill-sets within an agency
-Good proven track record with managing people and projects
-Good knowledge of excel, word and power-point
